Your information
Privacy Policy
What we collect when you enquire, what we do with it, and how to get it back or have it deleted. In plain English, because a policy nobody can read protects nobody.

The short version
- We collect what you send us on an enquiry form, and nothing more.
- We use it to plan your trip and reply to you.
- We never sell it, and we do not add you to marketing lists.
- You can ask to see it, correct it or have it deleted, at any time.
The rest of this page is the detail behind those five points.
Who we are
Clerisa Safari Limited is a travel company based in Arusha, Tanzania. We arrange safaris, Kilimanjaro treks and Zanzibar travel.
When you send us an enquiry, we decide what happens to the information you give us. That makes us the data controller under the Personal Data Protection Act, 2022.

What we collect
Only what we need to plan your trip and reply to you. Nothing else.
| What | When |
|---|---|
| Your name | When you send an enquiry |
| Email address | When you send an enquiry |
| WhatsApp or phone number | Only if you choose to give it |
| Country you are travelling from | When you send an enquiry |
| Travel dates, trip length, number of adults and children, children's ages | When you tell us about your trip |
| What you would like to see and do, and any dietary or accessibility needs you mention | When you tell us |
| Your answers in the AI Tourism Advisor | If you choose to use it |
| Anything you write in a message to us | When you write it |
We do not ask for and do not want: passport numbers, card or bank details, or copies of identity documents through this website. If we need anything like that later in your booking, we will ask for it separately and tell you why.
Children's ages are collected only so we can advise honestly on which parks and lodges suit your family, and whether an age limit applies to a trek. We never contact a child directly.
Why we use it, and on what basis
The Act requires us to have a lawful reason for using your information, and to be specific about it. Here is the full list.
| Why | Our lawful basis |
|---|---|
| To reply to your enquiry and suggest journeys that fit | Your consent, given by ticking the box on the form |
| To prepare a personalised quotation | Your consent, and steps taken at your request before a contract |
| To arrange your trip once you book, including telling lodges and guides who is coming | Performing our contract with you |
| To keep records of enquiries and bookings | Our legal obligations, including tax records |
| To keep the website working and stop spam | Our legitimate interest in running the site safely |
We do not sell your information. We do not pass it to advertisers, data brokers or unrelated third parties. We do not add you to a marketing list because you sent an enquiry.
Who else sees it
Only the people and services that need to.
- Clerisa staff in Arusha, so they can answer you.
- Google Workspace, which hosts our
karibu@clerisasafari.commailbox. Your enquiry arrives there as an email. - Our website host, which stores a copy of each enquiry so nothing is lost if an email fails to arrive.
- Lodges, camps, guides and airlines, but only once you have booked, and only the details needed to hold your reservation, such as names and dates.
- The AI Tourism Advisor, if you choose to use it. Your answers about the kind of trip you want are sent to an AI service to write the recommendation. See the section below.
We ask everyone who handles information for us to keep it secure and to use it only for the purpose we gave it to them.
Information sent outside Tanzania
Some of the services above store information on servers outside Tanzania. Google Workspace is the main example.
The Act treats sending personal data abroad as something that needs proper safeguards, so we keep what leaves Tanzania to the minimum needed to run our email and our website, and we use established providers with their own security and contractual protections.
If you would like to know exactly where your information is held, email us and we will tell you.
The AI Tourism Advisor
The advisor is optional. You can plan your whole trip with us without ever using it.
If you do use it, this is what happens:
- Your answers about the kind of trip you want, such as month, party size and interests, are sent to an AI service so it can phrase a recommendation.
- Your name, email address and phone number are not sent to the AI service. They are only collected at the end, if you decide to send the result to us.
- The recommendation itself is worked out by our own matching rules from our published journeys. The AI only writes the explanation.
- Your answers are not used to train anyone's AI model.
If you would rather not use it, the ordinary enquiry form does the same job.
How long we keep it
We keep your information only for as long as we actually need it, and no longer. In practice that means:
- Enquiries are kept while we are helping you plan, and for a reasonable period afterwards in case you come back to us.
- Booking and trip records are kept for as long as the law requires us to keep business and tax records.
- Website security logs are kept briefly, then deleted.
If you ask us to delete your information, we will, unless we are required by law to keep a particular record.
Your rights
Under the Personal Data Protection Act you can:
- Ask what we hold about you, and get a copy.
- Correct anything wrong or incomplete.
- Ask us to delete it, where we are not required to keep it.
- Withdraw your consent at any time. This does not undo anything we did before you withdrew it.
- Object to how we are using it, or ask us to pause while we look into a concern.
- Complain to the Personal Data Protection Commission.
To use any of these, email karibu@clerisasafari.com. We will reply within 30 days. There is no charge.
If you are not satisfied with our answer, you can contact the Personal Data Protection Commission of Tanzania, which supervises this law. Their details are published at pdpc.go.tz.
How we protect it
- The whole website runs over an encrypted connection (HTTPS).
- Enquiries are stored outside the public area of our web server, where they cannot be reached from the internet.
- Access is limited to the Clerisa staff who need it.
- Our forms are protected against automated abuse and spam.
No system is perfect. If something goes wrong and your information is affected, we will tell the Personal Data Protection Commission promptly, and we will tell you if it is likely to affect you.
Cookies
We keep this simple. This website does not use advertising cookies and does not track you across other websites.
- A short-lived cookie that protects our forms from abuse. It holds no information about you.
- If we use website statistics, they are privacy-conscious and do not build a profile of you or follow you elsewhere.
More detail is in our Cookie Policy.
Children
This website is meant for adults planning travel. We do not knowingly collect information directly from anyone under 18.
Where you tell us the ages of children travelling with you, that comes from you as the parent or guardian, and we use it only to advise on suitability.
Changes to this policy
If we change how we handle your information, we will update this page and change the date at the top. If the change is significant and affects enquiries we already hold, we will contact you.
